You remain in control
1. Where AI appears
- Agent conversations and workspace planning.
- Brain-dump organization into reviewable task, habit, note or project drafts.
- Note writing, rewriting, selected-text questions and linking suggestions.
- Habit planning or coaching and productivity analytics explanations.
- Voice transcription for Agent and brain-dump input.
- Optional Workspace AI Memory for retrieval of relevant workspace context.
2. Information AI may process
Before sending content to OpenAI for the first time, Fibly asks for your explicit permission in the app. This permission is saved separately for each account on each device. Choosing “Not now” stops the AI request. You can turn off AI sharing in Settings; permission is withdrawn on that device immediately, and Fibly asks the server to turn off Workspace AI Memory for your account. If that request fails, Settings shows a retry control because background Memory processing may continue until the account setting is disabled. Previously processed data remains subject to the provider retention described below. AI Memory still requires a separate opt-in, and your existing Memory choice does not replace permission to share with OpenAI.
Depending on the feature you intentionally use, Fibly may send your prompt and relevant tasks, notes, habits, check-ins, projects, milestones, focus history, analytics or connected Google Calendar context to OpenAI. The Agent does not receive billing credentials, passwords, Google or Spotify access tokens, or unrestricted access to outside websites.
Submitted images and notebook drawings may be sent to OpenAI for visual analysis. Voice recordings are sent to OpenAI for transcription. Fibly's reviewed endpoint does not intentionally retain the raw audio after processing; the resulting transcript can be saved as an Agent message or brain-dump output.
3. Model provider and retention
Fibly currently uses the OpenAI API. OpenAI states that API inputs and outputs are not used to train its models by default. OpenAI generally retains API abuse-monitoring logs for up to 30 days, with longer retention for legal or safety reasons, unless approved data controls apply. Fibly sends applicable Responses API requests with store: false, which disables Responses application-state storage but does not override abuse-monitoring retention.

4. Workspace AI Memory
- AI Memory is off until you turn it on in Settings.
- It can index eligible notes, tasks, habits, habit check-ins, focus sessions and projects so related snippets can be retrieved for eligible AI requests.
- Calendar data, uploaded audio, billing information and credentials are excluded from the reviewed memory index.
- Turning Memory off disables retrieval and deletes derived memory chunks, jobs and related search telemetry. It does not delete the original workspace records.
- Deleting or editing a source record is designed to update or remove its derived memory data.
5. Suggestions, generated content and actions
AI suggestion
An idea or recommendation that does not change your workspace.
AI-generated content
A draft title, note, plan or summary that you should review and edit.
AI-executed action
A change to workspace records. Reviewed Agent actions are previewed and require confirmation before execution, are logged, and can be undone where the product presents an Undo control. Google Calendar remains read-only to the Agent.
6. Important limitations
- AI can hallucinate facts, dates, relationships, priorities and summaries.
- Fibly is a productivity tool, not a professional adviser or emergency service.
- Do not rely on AI output for medical, legal, financial, mental-health, safety-critical or other high-impact decisions.
- Do not submit secrets, passwords, payment-card data or information you are not authorized to process.
- AI output may resemble existing material and may not qualify for copyright protection. Check rights before publishing or commercial use.
7. Report a concern
Report unsafe, incorrect or privacy-impacting behaviour to support@fibly.app. Include the feature and approximate time, but do not email passwords or highly sensitive content.
